Etsy calculated shipping: how to set it up and get prices right

By Nation 10 min read

Quick answer

Etsy calculated shipping prices each order from your location, the buyer's location, and the item's size and weight, so the buyer pays what the label is likely to cost. It is open to sellers in the US or Canada who ship with USPS, Global Postal Shipping or Canada Post; everyone else uses fixed rates. You set it up in a shipping profile, then add accurate weight and dimensions to each listing, because the box and the weight decide the price.

How Etsy calculated shipping works

Etsy calculated shipping replaces a flat price with a live quote. Etsy combines your location, the buyer's location, and the item's size and weight, then adds the result to the order. Buyers can preview the cost by entering their zip or postal code, or their country before they check out.

Calculated shipping is open to sellers in the US or Canada who ship with USPS, Global Postal Shipping or Canada Post. If you sell from another country, or you ship with a carrier the tool does not cover, Etsy's help center says sellers elsewhere, or who skip calculated shipping, add their own shipping rates. If an item is too big or too small for those carriers' packages, you can still manually add shipping rates.

Two choices are made for you on every order. Etsy picks the least expensive shipping method that is eligible for the item's total weight and dimensions, and it picks the smallest and cheapest package for the selected mail class and the order's total weight and dimensions. Because the weight of the order combined with the size and weight of the box set the postage, the numbers you type into the listing matter more than the profile itself.

The trade-off is control. A fixed rate is a number you choose and can round up to cover packing tape and a trip to the post office. A calculated rate follows the carrier's price, so it is fairer to a buyer next door and to a buyer across the country, but it covers postage only. One upside: if you buy labels on Etsy, the package details from the order are automatically imported into the shipping label purchase page.

Calculated vs fixed shipping profiles on Etsy

Etsy shipping profiles hold your shipping settings so you do not retype them on each listing. A profile is either calculated or fixed, and editing a profile updates every listing it is applied to. Etsy allows one shipping profile per listing, so a listing cannot mix two profiles.

The table sets the two types side by side, using the rules in Etsy's help center.

Calculated profiles suit small, light items whose weight varies from listing to listing. For very heavy or bulky items such as furniture, Etsy's help center suggests a different route: ask buyers to contact you for a quote, then create a custom listing.

How to set up an Etsy calculated shipping profile

The steps follow the order in Etsy's help center: build the profile, add size and weight to the listings, then attach the profile.

  1. Open shipping settings

Open the Shipping profiles page in your shop settings. Create a new profile and choose calculated shipping rather than fixed rates.

  2. Enter your origin

Add the zip or postal code you ship from. Etsy allows one shipping origin per listing, so if you ship from two places, the listings need separate profiles or separate shops.

  3. Set processing time

Pick how long you need to pack an order. Use the time you actually need, so the dates buyers see are ones you can meet.

  4. Choose services and destinations

Tick the domestic and international services you want to offer. In Etsy's words, you enter weight and dimensions and pick the services; Etsy calculates shipping when the buyer chooses a service. With calculated shipping, upgrades are based on the shipping services you chose in your calculated shipping settings.

  5. Set package preferences

Add the boxes and mailers you really use. If you want Etsy to choose only from these, uncheck Use common Etsy package sizes to use only the boxes you add.

  6. Add weight and dimensions to each listing

In each listing's shipping section, enter the item's weight and its packed size. These numbers drive the quote, so weigh the item with its wrapping.

  7. Attach the profile and test it

Apply the profile to the listing, save, and preview the listing with a nearby zip code and a distant one. Compare both quotes with the label price you would pay.

The package inputs that change what buyers pay

With calculated shipping, the weight of the order combined with the size and weight of the box set the postage. Small errors in these fields push every quote up or down. These are the inputs to check first.

  • Item weight. Enter the weight of the item with its tissue, padding and inserts. Leaving out the packing material makes every quote too low.
  • Item dimensions. Enter the size of the item as packed. Etsy uses these to fit the item into a box, and if the item is bigger than every box you saved, the item's own dimensions are used as the package size.
  • Package preferences. Etsy offers default box sizes, and you can add your own custom box sizes. If you ship in a box Etsy does not know about, the quote may use a box that is smaller or lighter than yours.
  • Box weight. A heavy box can tip an order into the next weight band. Add your own box sizes with their weights so the quote counts them.
  • Mail classes. Etsy picks the least expensive shipping method that is eligible for the item's total weight and dimensions. Offering only the services you would actually buy keeps the default close to your real label.
  • Origin zip code. Distance between you and the buyer is part of the price, so an old or wrong origin moves every quote.

Example: a candle weighs a pound on its own, and the box, padding and label add a few more ounces. If the listing shows only the candle's weight, the quote can fall into a lower weight band than the label you later buy. The gap comes out of your margin on every order.

Etsy shipping profiles: how to organise them

Etsy shipping profiles save time only when they match how you pack. A simple rule is one profile per packing method: one for flat mailers, one for small boxes, one for large or fragile items. Listings packed the same way share a profile, and a change to that profile updates all of them, since editing a profile updates every listing it is applied to.

Set a rate or a service for every country you are willing to ship to. Etsy notes that many buyers only see listings that ship to their country, so a profile with no international options can keep your listings out of those buyers' results. The reverse also happens: a listing or profile set to ship to Everywhere Else ships worldwide.

For variations, plan around one limit: variations do not have separate shipping costs. If a small and a large size of the same item need very different postage, list them separately so each listing carries the right weight and profile.

Fixed profiles have their own combined-order rule: the highest One item rate, plus the Additional item rate for each other item. Set the Additional item rate lower than the One item rate if you want to reward buyers who order more than one thing.

How shipping charges affect your Etsy fees

Whatever the buyer pays for shipping is part of the sale for fee purposes. Etsy's fee policy charges the 6.5% transaction fee on the item price plus shipping and gift wrapping. Payment processing is charged on the total sale, including tax and shipping; for a shop with a US bank account the rate is 3% + $0.25 per order.

This matters when you set rates. If a calculated quote covers postage exactly, the fees on that shipping charge come out of your item margin. Etsy's help center suggests one way to cover packing costs: package or handling fees can be built into the listing item price. A fixed rate can do the same job by rounding up.

Common mistakes with Etsy calculated shipping

Most wrong quotes trace back to a few settings. Check these before you change carriers or prices.

  • Weighing the item without its packaging, which makes every quote too low.
  • Leaving Etsy's default boxes on when you never use them. If you only ship in your own boxes, uncheck Use common Etsy package sizes to use only the boxes you add.
  • Expecting a multi-item discount. On calculated listings, discounted rates for extra items cannot be set on calculated-shipping listings.
  • Putting very different sizes in one listing as variations, since variations do not have separate shipping costs.
  • Leaving Everywhere Else in a profile by accident: a listing or profile set to ship to Everywhere Else ships worldwide.
  • Forgetting packing costs. Calculated rates cover postage only, so package or handling fees can be built into the listing item price.
  • Choosing calculated shipping for items that do not fit USPS or Canada Post packages. For those listings, you can still manually add shipping rates.
  • Mixing calculated and fixed listings without checking a test cart. In a mixed order, Etsy adds the calculated shipping first, then the Additional item rates of the fixed-rate listings.

If you sell in the US, the Etsy Shipping Calculator is a quick cross-check: US sellers can check UPS, USPS or FedEx rates in the Etsy Shipping Calculator. For sellers in Canada, note that pre-populated package types are not available to sellers in Canada, so you add your own box sizes.

Questions about Etsy calculated shipping and shipping profiles

What is calculated shipping on Etsy?

Calculated shipping on Etsy is a profile setting that prices postage for each order instead of using a flat rate. Etsy combines your location, the buyer's location, and the item's size and weight and adds the result to the buyer's order at checkout. Buyers can preview the cost by entering their zip or postal code, or their country.

Who can use Etsy calculated shipping?

Etsy calculated shipping is open to sellers in the US or Canada who ship with USPS, Global Postal Shipping or Canada Post. Sellers in other countries, or sellers who use other carriers, set their own rates instead: sellers elsewhere, or who skip calculated shipping, add their own shipping rates. If an item does not fit those carriers' packages, you can still manually add shipping rates.

Why is my Etsy calculated shipping too low?

Etsy calculated shipping is usually too low because the listing weight or size leaves out the packaging. Etsy picks the smallest and cheapest package for the selected mail class and the order's total weight and dimensions, and the weight of the order combined with the size and weight of the box set the price. Weigh the item packed and add your real box sizes.

How many shipping profiles can an Etsy listing have?

An Etsy listing can use one shipping profile; Etsy allows one shipping profile per listing. A shop can still have many profiles, for example one per packing method. When you edit a profile, the change applies to every listing that uses it, because editing a profile updates every listing it is applied to.

Can I offer combined shipping discounts with calculated shipping on Etsy?

Combined shipping discounts are not available with calculated shipping on Etsy: discounted rates for extra items cannot be set on calculated-shipping listings. Etsy prices the combined package instead. Fixed profiles do allow discounts, using this rule: the highest One item rate, plus the Additional item rate for each other item.

Does Etsy charge fees on the shipping price?

Etsy charges fees on the shipping price as well as the item. The 6.5% transaction fee is charged on the item price plus shipping and gift wrapping, and payment processing on the total sale, including tax and shipping, at 3% + $0.25 for US bank accounts. A calculated rate that only covers postage leaves those fees to your margin.
