Quick answer
Etsy lets each seller write their own return policy, and Etsy says you must set a return policy whenever you edit or create a new listing for a physical item, even if the policy says no returns. Accepting returns or exchanges is completely optional for sellers outside the EU, but a listing with no policy risks listings appearing lower in Etsy search. Separately, Etsy's Purchase Protection gives buyers a full refund if your order never arrives, arrives after the estimated delivery window, arrives damaged, or isn’t as described, whatever your policy says.

Etsy return policy: what Etsy requires from sellers
Etsy does not set one return policy for every shop. Each seller decides whether to accept returns, exchanges or neither, and writes that into a policy attached to each physical listing. Etsy's buyer help page puts it plainly: Sellers aren’t required to accept returns, exchanges, or provide a refund unless stated in the return policy on their listing.
What Etsy does require is that the policy exists. For sellers outside the EU, you must set a return policy whenever you edit or create a new listing for a physical item. A policy of no returns counts. Whether you accept returns at all is completely optional. Leaving the policy out has a cost in search: Etsy says it may result in listings appearing lower in Etsy search.
Two rules sit on top of your own policy. Buyers in the EU are covered by consumer law, which can require a minimum 14-day return policy on orders that ship to those countries. And Etsy's Purchase Protection program covers orders that never arrive, arrive late, arrive damaged or are not as described, even in a shop that accepts no returns. The table sums up what applies to a typical shop.
How to set a return and exchange policy on Etsy
Return policies are set per listing in the listing editor or in bulk in Listings Manager. You can use different return and exchange policies for each physical listing, or one policy for the whole shop.
Open the listing editor
Create a new physical listing or edit an existing one. Etsy asks for a return policy in the policy settings of the listing. If you have used a policy before, Etsy suggests the one you have applied most, and you can apply it or choose another.
Pick a template or write your own
Etsy offers a simple policy template that you can choose instead of creating your own. If you write your own, decide whether you accept returns, exchanges or both, and how long a buyer has to contact you and ship the item back.
Apply it to more listings
Etsy lets you create and/or apply policies to multiple listings at once in Listings Manager. This is the quickest way to give a whole category, such as all prints or all candles, the same policy.
Add exceptions where buyers will see them
If some orders cannot be returned, such as personalized ones, say so in the listing description and your shop FAQ. Etsy also suggests using Messages to Buyers to let shoppers know that you do not accept returns for customized or personalized items.
Clean up old policies
A policy you no longer use can be removed, but Etsy notes that it can only be deleted if it is not associated with any of your active listings. Move those listings to another policy first.
Choosing what your policy allows
Because returns are your choice, the policy is a business decision. A shop that sells ready-made goods, such as candles or prints, can usually resell a returned item. A shop that makes items to order often cannot. Many shops split the difference: returns on stock items, no returns on custom work.
Whatever you choose, write the policy so a buyer can read it once and know the answer. Buyers see the return policy when they view the listing, so it sets what they expect before they buy.
- Returns, exchanges or both. Say which one, or say neither.
- The time limit. State how many days a buyer has to contact you after delivery and how many days to send the item back.
- Who pays return shipping. If the buyer pays, say so. Purchase Protection cases about damaged or wrong items are a separate matter.
- Condition on return. For example: unused, in original packaging.
- Items that are excluded. Personalized, custom and perishable items are common exclusions. Say so in the listing too.
- Digital files. Etsy states it is not possible to set return or exchange policies on your digital listings, so explain in the description how you handle a file that does not open.
If you agree to something outside your written policy, it still counts. Etsy says that if you make a return agreement with a buyer in Messages or in a case, we require you to fulfill that agreement.
Etsy refund policy for sellers: how refunds work
Refunds on Etsy are issued by the seller from the order, unless Etsy steps in through a case. Under the Etsy Payments policy, a refund can be started from your payment account for 180 days after the purchase was made. After that, the platform has no refund tool for the order, so settle returns well before then.
The refund is taken from your payment account balance. If the balance is too low, Etsy says the amount is charged to the seller’s card on file or added to the seller’s payment account. On a full refund, Etsy also notes that Fully refunded transactions may be eligible for cancellation, which closes the order as cancelled.
Fees work differently from the refund itself. Etsy's fees policy states that all service fees, including prepaid fees, are non-refundable. When you refund an order, check the refund line in your payment account to see what was charged and credited on that order. Fees were charged on the full sale: the transaction fee of 6.5% on the price you display for each listing plus the amount you charge for shipping and gift wrapping, and the processing fee (for a shop with a US bank account) of 3% + $0.25 on the gross order amount, including shipping and tax.
- Full refund: the buyer gets the whole order amount back, and the order may be cancelled.
- Partial refund: the buyer gets part of the amount back, for example for a late item they decided to keep.
- Refund after a return: wait until the item arrives back and you have checked it, then refund the amount your policy promises.
Example: you sell a $40 lamp and the buyer returns it under your policy. You refund the $40 from your payment account. The fees Etsy charged at the sale were worked out on the original order total; your payment account shows what, if anything, was returned to you.
Cases and Etsy Purchase Protection
Some refunds happen whatever your return policy says. If a buyer has a problem, they first message you. If the issue is not fixed after 48 hours, they can ask Etsy to step in by opening a case.
For qualifying orders, Etsy Purchase Protection gives the buyer a full refund if your order never arrives, arrives after the estimated delivery window, arrives damaged, or isn’t as described. An item counts as late when it arrives 7+ days after the estimated delivery date window given at checkout. For cases opened from May 7, 2026, Etsy covers up to $250 of the refund, and any remaining amount will be charged to the seller.
Some orders do not qualify. Items held up because the buyer refused or delayed paying import charges do not qualify under Etsy's Purchase Protection Program. Late items also do not qualify when the delay comes from forces outside your control, such as a carrier strike, severe weather event, war, civil unrest or similar event, as Etsy decides.
The fastest way to keep an order out of the case system is to answer the buyer's first message quickly and offer a fix you can live with: a replacement, a partial refund or a return.
Selling to buyers in the EU and UK
If you ship to the EU, your own policy is not the whole story. Etsy notes that EU consumer protection law can require a minimum 14-day return policy on orders that ship to those countries. Etsy points sellers to its page on the EU Directive on Consumer Rights for the details, and says EU and UK transactions are subject to local consumer protection rules.
Consumer law differs by country and changes over time. This page is general information, not legal advice. If you sell to the EU or UK often, read Etsy's selling to EU and UK buyers policy and check the rules for the countries you ship to.
How returns and refunds affect your shop
A return policy itself helps search: Etsy says a listing without one risks listings appearing lower in Etsy search. A clear policy also answers a question buyers would otherwise send you in Messages.
Cases are the part that can count against a shop. Etsy's buyer help says An occasional case opened against a seller will not negatively impact them or their shop. A pattern of cases is different, so solve problems with buyers directly where you can, and honor any return you agree to in writing.

Describe what you makeQuestions about the Etsy return policy
Does Etsy require sellers to accept returns?
Etsy does not require sellers outside the EU to accept returns. Accepting returns or exchanges is completely optional. Etsy does require a written policy: you must set a return policy whenever you edit or create a new listing for a physical item, even if that policy says no returns. Purchase Protection can still refund a buyer for lost, late, damaged or wrong items.
What is Etsy's refund policy for buyers?
Etsy's refund policy leaves most refunds to the seller, who decides through the listing's return policy. For qualifying orders, Etsy Purchase Protection gives buyers a full refund if your order never arrives, arrives after the estimated delivery window, arrives damaged, or isn’t as described. Buyers contact the seller first and wait 48 hours before opening a case.
How long does a seller have to refund an Etsy order?
An Etsy seller can refund an order through Etsy Payments for 180 days after the purchase was made. After that, the refund tool is no longer available for that order. If your payment account balance is too low to cover the refund, the amount is charged to the seller’s card on file or added to the seller’s payment account.
Can you return a digital download on Etsy?
Digital downloads on Etsy have no return setting: Etsy says it is not possible to set return or exchange policies on your digital listings. A seller can still choose to fix the problem, send a new file or give a refund. State in the listing description how you handle a file that does not download or open.
Who pays when Etsy refunds a buyer through a case?
When Etsy refunds a buyer through Purchase Protection, Etsy covers up to $250 of the refund for cases opened from May 7, 2026, and any remaining amount will be charged to the seller. This applies to qualifying orders that never arrive, arrive late, arrive damaged or are not as described.
